The Greek e-charter party: a practical checklist before every departure
What the e-charter party platform needs, the mistakes that get a file rejected, and how to prepare it from the booking you already have.
In Greece, every professional yacht charter must be declared on the Ministry's e-charter party platform (echarterparty.yna.gov.gr) before departure: yacht, voyage, charterer, broker, captain and everyone on board.
Typing all of this into the platform for every booking is slow, and one wrong field is enough for the platform to reject your upload. Here is the checklist we use.
1. Get the yacht details right once
Each yacht needs a call sign, and its port authority and ports must be valid codes. Set them once on the yacht and every charter party for that yacht inherits them. See Prepare your yachts.
2. Start from the booking, not a blank form
In Basenautic you press ⚓ on a booking and the charter party is filled in for you: dates and embarkation times, freight, port authority, departure and arrival, the charterer, and the broker/agent details from the partner. See Create a charter party from a booking.
3. People on board, exactly as in the passport
For every person you need first and last name, ID/passport number, nationality, date of birth and sex.
- There must be exactly one captain, and the captain needs an email: the platform emails them a login to complete or edit the crew list.
- Mark professional crew as Crew; everyone else is a passenger.
- Someone boarding later or at another port? Set their boarding date, time and port.
- Passengers must not exceed the yacht's capacity.
4. Greek names in Latin capitals
The platform accepts Latin capitals only. Basenautic converts Greek names with ELOT 743, the standard used on Greek passports, so Παπαδόπουλος becomes PAPADOPOULOS. You keep typing names naturally; the conversion happens only in the export file. See Greek names in Latin capitals.
5. Check before you upload
Common reasons for rejection:
| Check | What to look for |
|---|---|
| Dates | The end is after the start, and the start is in the future |
| Freight | More than 0 |
| Emails | Valid for charterer, broker and captain |
| Captain | Exactly one, with an email |
| People | Name, ID/passport, sex, nationality and date of birth for everyone |
| Boarding | Boarding times within the charter dates |
| Bulk uploads | No two charters overlap on the same yacht |
Basenautic lists what must be fixed at the top of the charter party and exports nothing while issues remain, because the platform rejects the whole file if one charter party is wrong. When everything is in order you see Ready for the e-charter party portal.
6. Export one or many
Export a single charter party, or tick several in the list and get one JSON file for all of them. Then use the platform's bulk upload. See Export the JSON and upload it.
