Moving your charter season off spreadsheets: a first-day plan

The order to set things up in, so bookings, payments and reminders are useful from the first day.

Switching systems in the middle of planning a season feels risky. The trick is to set things up in an order where each step makes the next one easier, and to enter real data from day one.

Settings first

  1. Company details and logo: they appear on booking confirmations and emails.
  2. Booking defaults: your usual commission, deposit percentage, payment terms and embarkation times. New bookings are pre-filled with them.
  3. Bank accounts: the accounts you receive payments into.

Then your fleet and partners

  1. Yachts: add each yacht, then fill in owner and registration details.
  2. Partners: the agents and brokers you work with.
  3. Extra services: your price list for extras such as skipper, SUP or transfer.

Then the season itself

  1. Bookings: enter the current season. Each booking needs a yacht and check-in/check-out dates; the 7d/14d/21d/28d buttons fill the check-out for you. Instalments are calculated on the net price, and every booking gets a reference such as FLU1026 that never changes. See Create a booking.
  2. Payments: record what you have already received, so balances are correct.

Finally, your team and automation

  1. Users: invite your team with the right permissions. See Invite your team.
  2. Reminders: when your data is in, switch on automatic payment reminders.

Bringing over existing data

During onboarding we help you bring your current season over from Excel or another system: email contact@basenautic.com with your file. You can also start with the current season and add older seasons later. See Can I import my existing data?.

The full list is in the first-hour checklist.
