Damage claims
Charge damage to the partner, the client or the security deposit, and follow it until it is paid.
When a client damages the yacht (a broken table, a lost winch handle), record a damage claim on the booking and follow it until it is paid. Claims are kept apart from the charter price: they never change the booking's balance, payment status or reminders.
Add a claim
Open the booking and press Damage claims at the top of the form, or use ⋯ → Damage claims in the bookings list. Then press Add claim:
- Damage: what happened, e.g. "Broken saloon table".
- Amount and Date.
- Who pays: Partner, Client or Security deposit. Security deposit means the base kept the money from the client's deposit: the claim is recorded as paid straight away.
- Notes (optional).
- Photos / invoice: photos of the damage, the repair invoice. PDF, images (PNG, JPG, WEBP, HEIC), Word and Excel, up to 20 MB per file.
- Also add the repair as an expense of this yacht (optional): enter the repair cost (it can differ from what you charge) and the expense category. The expense appears in Expenses and in the yacht's profit.
On an existing claim, Attach photos / files adds more files. Claim files also appear in the booking's Files, marked "Claim".
Payments
Press Record payment on the claim: amount, date and bank (or Cash or Security deposit). Part payments are fine: the claim shows what is still due. A partner can also pay a claim together with charter money in one transfer: see Partner payments and credit.
Where unpaid claims show
- Bookings: a red "Claim €300 unpaid" tag under the payment status and a wrench icon next to the date. The filter Unpaid damage claim lists them across all seasons.
- Partner page: Outstanding shows "charter … + claims …", and a list of the partner's claims. The Partners list includes claims in Outstanding.
- Dashboard: a red "Unpaid damage claims" link that opens the filtered bookings list.
- Yacht page: a Damage history card.
- Payments: claim payments are listed with a "Claim" tag.
Claim document
⋯ → Claim document (PDF) appears on bookings that have a claim. It shows the booking, yacht and charter dates, each damage, the total, what is already paid, the amount due and the owner's bank details with the reference "Damage claim FLU1026". Send it to the partner or the client.
Income and profit
Paid claims count as income in the year of the charter: the dashboard's year cards show a "Damage claims" line, and profit per yacht = net prices + paid claims − expenses.
Good to know
- Adding and editing claims needs the Create and edit permission, recording claim payments needs Record payments, and deleting needs Delete.
- Deleting a claim also deletes its payments and files (not the repair expense). It does not go to the recycle bin.
- Claims are not included in automatic payment reminders.
